Studio Policies
Registration
New students complete our New Student Registration Form. Submitting the form confirms your agreement with the policies below, including scheduling and annual fees.
Tuition
We use a flat monthly tuition model. You pay the same amount every month from September through June, no matter how many lessons fall in a given month. Months with an extra lesson are included at no additional cost. Tuition is due on the 1st of each month. Summer lessons in July and August are billed per lesson with no monthly commitment.
Payment
A card on file is required for every student account. You can pay by e-transfer to payment@musicalmindsacademy.ca, by card using the pay online button on your invoice, or by autopay. We're happy to help you set up autopay.
Late Payments
A $15 late fee may apply if tuition is not paid by the 10th of the month, or within 10 days of the invoice date.
Makeup Credits
Every student receives 4 makeup credits per school year for each subject, valid from September 1 to June 30. To use one, give at least 24 hours notice before the lesson. Cancellations with less than 24 hours notice, and no shows, are forfeited with no makeup. Credits do not carry over and expire June 30. Makeups are subject to availability.
Refunds
Monthly tuition is not prorated or refunded for missed lessons or mid-month changes.
Music Books
Books or materials issued during lessons are billed on your next invoice.
Pausing Lessons
For absences up to 2 weeks, you may use available makeup credits with at least 24 hours notice. For pauses of 3 or more weeks, we ask for 30 days written notice. With that notice your spot is held, no payment is required for the pause period, and no credits are used.
Withdrawal
To stop lessons, please give 30 days written notice. Tuition continues through the notice period, and any outstanding credits are applied to your final invoice.
Annual Registration Fee
A $75 fee applies to your first child and $35 for each additional child, charged in September or at enrollment. It is non-refundable and covers participation in our bi-annual recitals, including admission for family and friends.
Studio Closures
The studio runs on statutory holidays. If your lesson falls on a stat holiday and you need to cancel, give at least 24 hours notice and we'll schedule a makeup that does not count against your credits. Planned closures for 2026 to 2027 are winter break from December 24, 2026 to January 1, 2027, and spring break from March 15 to 28, 2027.
Online Lessons
Online lessons may be available on request with at least 6 to 8 hours notice, held over Google Meet and subject to teacher availability.
Photo and Video Consent
By registering, students and their parents or guardians consent to the use of photos or videos taken during lessons, recitals, or studio events for promotional purposes on our website, social media, and marketing materials. If you do not consent, please notify the studio in writing at registration.
